Sensory Friendly Vacations – Terms and Conditions

These Terms and Conditions outline the agreement between Sensory Friendly Vacations (“we,” “us,” or “our”) and you, the client (“you” or “traveller”). By planning travel with us, you agree to the terms below. Sensory Friendly Vacations acts only as an agent for third-party travel suppliers and does not directly provide accommodations, transportation, or other travel services.
1. Booking Services and Responsibility
You confirm you are at least 18 years old and legally allowed to make travel bookings. You agree to provide accurate information and are responsible for all bookings made under your name.
We book travel on your behalf through third-party suppliers such as cruise lines, resorts, and airlines. Each of these suppliers has their own terms, which you agree to follow. We are not responsible for anything booked outside of Sensory Friendly Vacations or directly with a supplier.
If you book your own flights or accommodations, we cannot assist with changes, delays, cancellations, or missing loyalty points related to those bookings.
2. Payments and Cancellations
You are responsible for all charges related to your trip. When you submit a credit card authorization, you allow us to use it to pay for travel through our suppliers.
Do not dispute charges without contacting us first. If you initiate a chargeback, we may recover legal or administrative costs involved.
Final payment is due based on each supplier’s timeline. If payment is not received on time, your booking may be cancelled with no refund. Cancellations may result in supplier fees and loss of any deposit.
We may charge a cancellation fee of up to $500 for trips cancelled within 60 days of travel.
If you cancel outside the 60-day window, the fee is $200.
If a trip is cancelled due to missed payment deadlines, we may charge a no-payment fee of at least $200.
These fees will never be more than the commission we expected to earn.
We will make reasonable efforts such as text, email, phone, or mail to collect final payment before applying cancellation-related fees.
3. Travel Documents
Review all documents within 24 hours of receiving them. Let us know right away if anything looks wrong.
You are responsible for valid passports, visas, and other required travel documents. Names on your ID must match your airline tickets. If they do not, you may be denied boarding or face delays.
Many countries require that passports be valid for at least 6 months beyond your return date. If you are not a Canadian citizen, you may need extra documentation.
Minors travelling alone or with one parent may need special consent letters or paperwork. It is your responsibility to research and prepare any documents required for border crossing.
4. Entry Restrictions and Legal Eligibility
Some countries have strict rules about past criminal records. It is your job to check with the destination country before booking. For example, if entering the U.S. or travelling through Canada with a DUI or other record, legal restrictions may apply. We do not ask about or check legal eligibility.
5. Airline Rules and Flight Changes
Flight times, baggage fees, and seating rules are set by the airline and can change. You are responsible for checking in on time and confirming flight details within 24 to 72 hours of departure.
We are not responsible for missed connections or denied boarding caused by schedule changes, missed flights, or airline policies. Your contract is with the airline, even if we helped book your flights.
6. Health and Safety
Check with your doctor and travel clinic for required vaccines, screenings, or medication for your destination. Some countries require proof of vaccination to enter.
You are responsible for confirming your health eligibility to travel. For up-to-date info, visit travel.gc.ca or cdc.gov/travel.
7. Risk, Weather, and Supplier Changes
Travel always carries some risk. Suppliers may change schedules or cancel trips for safety or weather. We are not responsible for changes beyond our control.
We recommend you stay updated with travel advisories through travel.gc.ca or register with the Canadian government’s Registration of Canadians Abroad program.
8. Force Majeure
We are not responsible for delays, cancellations, or losses caused by events outside our control. This includes natural disasters, public health emergencies, strikes, or supplier shutdowns.
Each supplier may also have their own Force Majeure policies, and refunds are subject to their rules.
9. Travel Insurance
We strongly recommend travel insurance. Without it, you may lose money if your trip is cancelled, interrupted, or delayed.
Insurance is not included unless stated. If you decline insurance, you may be required to sign a waiver. We are not licensed insurance brokers and cannot advise on specific coverage.
10. Travel Changes, No-Shows, and Unused Services
Suppliers usually do not offer refunds for unused portions of your trip. If you miss part of your trip or decide not to use a service, no refund is guaranteed.
Changes to your booking must be requested in writing. We will help when possible, but changes may be limited or unavailable.
11. Co-Branded Bookings
If you start a booking directly with a supplier using a co-branded or affiliate link from Sensory Friendly Vacations, our role begins once your reservation is transferred to us. After that, we manage your trip and support your planning. We are not responsible for any issues that arise during the initial booking before our involvement.
12. Liability and Limitations
We act as an agent, not a provider. We are not responsible for the actions or failures of airlines, resorts, cruise lines, or other third parties.
Our total liability will never exceed the amount of commission we received for your booking.
13. Code of Conduct
You agree to act respectfully and follow all rules while travelling. You are responsible for any damages you cause. Illegal drug use or disruptive behaviour can lead to being removed from your trip without refund.
14. Changes to Terms
We may update these terms at any time. The most current version will always be posted on our website and shared upon request.
15. Governing Law
These terms are governed by the laws of Ontario, Canada. Any legal action must be filed in Kingston, Ontario, and within 12 months of your trip.
